What is the best after hours answering service: AI, a live service or voicemail?
For most small businesses, the best after hours answering service is an AI receptionist, because it answers every call, books appointments and costs a few dollars a call. A live answering service is better when callers need a person, and voicemail is only acceptable if you call everyone back first thing. Below are the four options, what each really costs for 40 after-hours calls a month, and a short setup checklist.
The short version
- A business open 9 to 5 on weekdays is closed for 128 of the week's 168 hours. Whatever answers during those hours is your after-hours receptionist, whether you chose it or not.
- For about 40 after-hours calls a month, published AI plans cost roughly $45 to $109. Live services cost about $395 to $415. Voicemail is free and often costs you the caller.
- Live services no longer charge extra for nights: Smith.ai says calls at 2 pm and 2 am cost the same, and Ruby includes after-hours, weekends and holidays.
- The Lead Response Management study found the odds of reaching a lead fall more than tenfold within the first hour. A message left at 7 pm and returned at 9 am is outside that window.
- The best setup for many businesses is both: a person by day, AI after hours and when the line is busy.

Why have an after hours answering service?
Because the caller does not wait. The Lead Response Management study, which analyzed more than 15,000 web leads and over 100,000 call attempts, found the odds of reaching a lead fall more than tenfold within the first hour, and the odds of qualifying them fall 21 times between a 5-minute and a 30-minute reply. A voicemail left at 7 pm and returned at 9 am is 14 hours late by that measure.
Daytime coverage is often thinner than owners think, too. In its 2026 dealer benchmarks, Foureyes found shoppers who reached a dealership by phone waited on hold about 73 seconds. If callers hold for more than a minute during business hours, the after-hours gap is not the only one to close.
When we reviewed the public quote funnels of 75 independent insurance agencies in 2026, 93% showed nothing set up to answer a quote request after office hours: no live chat, no instant reply, no stated after-hours line. That is what "inherited" looks like.
What does an after hours phone answering service cost?
We priced one month of after-hours coverage: 40 calls averaging 2.5 minutes, 100 minutes in total, on the cheapest published plan that covers it. Prices were read on each vendor's own page on September 19, 2026, before taxes, add-ons and one-time fees. The pattern is the same one we found when we priced eight answering services at 100 calls: AI plans cluster under about $110, and a live person costs roughly four to nine times as much. What has changed is that the live services no longer charge a night premium. Smith.ai's page says calls at 2 pm and 2 am cost the same, and Ruby lists 24/7 live answering including after-hours, weekends and holidays in every plan. Nights are not free for you, though, if you take the forwarding route. Sending the line to a cell phone costs nothing on paper and every evening in practice, and the calls you miss in the shower or at dinner still go to voicemail.

- Calls are routine: hours, prices, booking, "are you open Saturday": an AI receptionist. It answers all of them and books the appointment during the call.
- Calls are emergencies or need judgment, like a burst pipe, a legal intake or a patient in pain: a live answering service, or AI that takes the details and immediately calls whoever is on duty. How do you set up after-hours call handling?
- Count the calls first. Your phone provider's report shows calls by hour. Count the ones outside business hours for a month. That number decides the plan size and whether this is worth doing at all.
- Write the ten answers. Hours, location, parking, prices or price ranges, services, insurance or payment, how to book, what to do in an emergency, who to ask for, and what you do not do. Every option except voicemail needs this list.
- Decide the urgent rule. Which calls should reach a person at 11 pm, and who is that person this week? Give the service one number to try and one backup.
- Connect the calendar. If bookings are the point, confirm the service writes to the calendar you actually use and sends the caller a confirmation text.
- Add the disclosure. Most AI receptionists record calls, and some states require every party's consent. In California, "all parties to any confidential communication must give permission to be recorded," according to the Reporters Committee's recording guide. - Forward after hours only. Most phone systems can forward on a schedule, so the daytime team keeps answering and the service picks up at closing time and on weekends.
- Call it yourself. On the first night, call from a phone the system has never seen. Ask a routine question, ask for a person, and hang up mid-call. Read the summaries the next morning.
