Why do real estate agents lose leads they already paid for?
Because a portal lead is not a lead for you. It is a lead for whoever answers first. When a buyer taps "Contact agent" on a Zillow listing at 7:30 on a Saturday evening, that inquiry is often shared with several agents, and the buyer is still scrolling. In the largest published audit of lead response, Harvard Business Review tested 2,241 US companies and found the average response time to a web lead was 42 hours. The last two rows are the good news. Nearly nine in ten buyers and sellers still transact through an agent. The demand is there. The question is only which agent gets the first real conversation, and that is decided in minutes, not days.
The three ways real estate leads leak
- Slow first touch. The lead arrives during a showing, a listing appointment, or dinner. It sits in the CRM until the next block of free time. By then two other agents have already texted.
- Unqualified showings. You drive 40 minutes to show a house to someone who is not pre-approved, is 14 months from moving, or is already working with another agent and did not mention it.

What does the AI conversation actually look like?
Short, specific, and in your name. The goal of the first two minutes is not to sell a house. It is to find out who this person is, what they are looking for, whether they can buy, and to get a showing or a call on the calendar. The AI asks the same five questions a good ISA asks, in the same order:
- Buying, selling, or both? Decides which agent gets the lead.
- When? Now, this quarter, or "just looking". Decides the follow-up cadence.
- Where? Area or ZIP. Decides routing on a team.

Notice what the AI did not do. It did not comment on the neighborhood, the schools, or whether the house is priced right. It did not promise anything about the offer. Carrier registration for business texting usually clears within a few business days but can occasionally take longer. We start it on day 3 and tell you on day 1 if your setup carries that risk.
How do you keep automated texting compliant and Fair Housing safe?
Three things, all handled during the install.
- Registered business texting. We register your number for A2P 10DLC under your legal business name. That is what makes carriers deliver the messages instead of filtering them, and it is the step most do-it-yourself setups skip, which is the quiet reason their texts "stop working". Once the number is registered it also receives inbound texts, so a new lead who texts you first gets the same 60-second reply and the same qualifying questions. We set that up during the install where your number allows it.
- Consent and opt-out. Your forms carry a one-line text-consent checkbox, and STOP is honored instantly across every sequence. Carrier registration asks how people opt in, so the two go together.
- Fair Housing boundaries in the AI. It never asks about or steers on protected characteristics, never describes neighborhood demographics or rates schools, and gives no pricing opinion on a specific home. Those questions get handed to the agent. That boundary is written into its instructions and tested before launch.

Who is this for, and who should not buy it?
Good fit: agents and teams paying for leads from Zillow, Realtor.com, Facebook or Google; teams of two to thirty agents who need routing and consistent follow-up; brokerages with an IDX site that registers visitors nobody calls; anyone sitting on a database of a few thousand old leads, sphere contacts and past clients they have not touched; anyone whose weekend leads wait until Monday.
Not a fit: a solo agent working fewer than about 15 new leads a month, all from personal referrals they already call back in minutes. The system would work, but the math would not, and we will say so on the Where AI Fits call. Also not a fit if your brokerage prohibits any automated outreach; the follow-up and reactivation layers are the point.
We also build beyond follow-up.
